Job Description
Primary Secretary ensures efficient operation of school administrative office and provide support services for school’s academic and non-academic staff. He/She maintains accurate staff profile records for administrative statistics as source of information for Management Team and performs a wide variety of complex and responsible office secretarial duties to relieve HOS/Principal of clerical and routine administrative detail.
- Provide secretarial and administrative support to HOS/Principal, Deputy-Principals, Heads of Departments and Teachers.
- Manage HOS/Principal’s appointments calendar.
- Coordinate with teachers relating to incoming parent questions/calls and following up on messages and further action.
- Attend to enquiries from students, staff and parents by phone, email or in person.
- Answer and make internal calls from/to teachers.
- Coordinate with teachers and other administrative support staff in day-to-day school activities and school events.
- Arrange, coordinate, prepare and assist in the preparation of agendas, notices, forms, refreshments, equipment, and necessary materials for meetings or events conducted by the principal.
- Manage scheduling of conference room bookings.
- Coordinate with HR department in day-to-day teachers sign-in and sign-out process.
- Coordinate all examination requirements which are the responsibilities of the Principal.
- Coordinate with teachers in providing examination papers during examination period.
- Act as coordinator of management and preparation for extra academic support program (EAS) and Student Learning Support Program for primary and secondary departments.
- Schedule and contact candidate for interview appointment required by Principal.
- Collect lesson plans for Principal’s review on a weekly basis.
- Manage student and teachers information.
- Keep up-to-date contact details.
- Provide students and teachers attendances.
- Managing and maintaining budgets, as well as invoicing.
- Coordinate with relevant departments for purchase request, advance payment and cash reimbursement for teachers.
- Provide administrative support to teachers on professional development program.
- Organize and storing paperwork, documents and computer-based information.
- Create and maintain filing systems; Compiles and files Minutes of Meeting, Teachers Appraisal report/ student attendance reports, Letter to/from Parents, other school records and all necessary documents required by Principal.
- Keep a record of the School’s activities.
- Coordinate to bring and get students to and from classrooms.
- Photocopy and print various documents assigned by Principal.
- Perform other duties as assigned by HOS/Principal inclusive of personal matters.
Requirements
- Holds at least a bachelor’s degree in related field.
- At least 3-5 years of experience, preferably from international school setting.
- Good organisation and communication skills.
- Able to practise discretion.
- Attention to detail.
- Computer literacy and office management skills.
- Ability to stay calm and tactful under pressure.
- Proficient in written and spoken Thai and English. Chinese will be a plus.
